Ghost Kitchen and Cloud Kitchen Cleaning, Who Is Actually Responsible

Ghost kitchen cleaning is a responsibility problem before it’s a cleaning problem. Inside your station, the surfaces, the equipment, the dishes and the daily sanitation are yours. The shared hood and ductwork, the exhaust fan, the grease trap, the corridors, the loading area and the common floors belong to the facility, in theory.

In practice that second list is frequently assigned to nobody. Shared exhaust responsibility in these agreements is usually vague, split among tenants in a way nobody tracks, or simply not addressed, and when it’s not addressed it doesn’t happen.

There’s one document that decides how much of the building’s grease becomes your bill, and most operators sign it without reading the clause that matters.

Why Ghost Kitchen Cleaning Isn’t Just Small Restaurant Cleaning

The delivery only model strips out the dining room, the front of house staff and the buildout. It doesn’t strip out the grease. A 300 square foot station running a fryer and a griddle produces grease at the same rate as the same equipment in a full restaurant, and it produces it into a building that usually wasn’t designed to take it.

Most ghost kitchen space in the country is converted stock: warehouses, light industrial units, retail bays and former offices. A purpose built restaurant kitchen is designed around its ventilation, with the hood, the makeup air unit and the HVAC engineered together as one system. A converted station is designed around the lease terms and the equipment, with ventilation fitted to whatever budget the conversion had, often the minimum that passed inspection.

Then you put four, six or ten independent operators in that building, each with a different menu and a different grease profile, all venting through infrastructure sized for one tenant’s guess.

Four things follow from that, and they’re what make this format its own cleaning problem:

  • Shared systems with divided ownership. One duct run, one fan, one trap, several businesses.
  • No dining room, so nobody sees it. In a restaurant, a slipping standard eventually shows up in the room a guest sits in. Here it shows up in a plenum nobody has opened in eighteen months.
  • Your permit is separate from the building’s. Using a shared kitchen doesn’t transfer the facility’s license to you.
  • The failure is collective. A fire marshal finding in shared ductwork lands on every operator in the building at once.

Two rows carry most of the risk. The hood plenum, duct and fan row is the expensive one. The grease trap row is the one that produces a violation with your name near it.

The pattern worth internalizing: you own everything inside your four walls, the facility owns everything the building shares, and anything the agreement leaves silent falls into a gap where it simply doesn’t get done. Read those clauses the same way you’d read a service contract, because that’s what they are. The same contract terms that decide whether a cleaning agreement protects you apply here with the facility standing in for the vendor.


The Shared Exhaust Problem, In Numbers

When six stations share one exhaust system, the questions nobody answers are who cleans the ductwork, who pays for it, and who replaces the fan belts. So it goes uncleaned for months or years.

Grease accumulates in the duct. The fan loses efficiency as bearings wear and belts slip. Capture velocity drops, and every operator in the building starts getting smoke blowback, odor and heat.

Then the fire marshal opens an access panel.

  • Cleaning a large multi station exhaust system neglected for about two years runs $5,000 to $15,000, and that bill gets split among operators who may have been in the space six months
  • Ghost kitchens are held to the same NFPA 96 standards as traditional restaurants, so a shared system serving operations that run more than 16 hours a day sits in the monthly tier, and the system has to be cleaned to bare metal
  • Any inspection finding grease deposits thicker than 0.002 inches triggers immediate cleaning of the entire system, whatever the calendar says

Grease that escapes an undersized system doesn’t stay put either. It settles on HVAC equipment, electrical panels, fire suppression and rooftop units. Rooftop units on ghost kitchen buildings pick up grease on their condenser coils at three to five times the rate of units on traditional restaurant buildings, which cuts cooling efficiency by 25 to 40 percent and turns the roof into a fire risk. Deep cleaning one severely fouled unit runs $800 to $2,000.

The heat side of the same problem is worth understanding before you sign. One full cooking line generates a heat load equal to 15 to 30 tons of cooling, and six stations can need 80 to 150 tons.

Most converted facilities have 20 to 40 tons installed, because that’s what a warehouse needed. Shared corridors in buildings with inadequate makeup air can hit 100 to 115 degrees during peak service.

In Northeast Pennsylvania that plays out in a specific way. Converted warehouse and industrial stock is exactly what ghost kitchens fill here, and buildings running under negative pressure end up with back doors propped open year round to relieve it.

In January that means unconditioned air, snow melt and salt tracked straight through the loading area onto the common floors. In July it means insects. Neither is a cleaning failure, and both get blamed on cleaning.


What You Actually Own Inside Your Station

A 200 to 400 square foot station isn’t a small restaurant kitchen, it’s a dense one. Everything is within reach, which is good, and everything is within splatter range of everything else, which isn’t.

Every shift:

  • Wipe down the cook line and prep surfaces between menu changes
  • Sanitize food contact surfaces at the concentration your sanitizer specifies
  • Clear the floor of debris and spot mop spills immediately, since there’s no room to walk around one
  • Wipe the fryer surround and the griddle splash guard

Daily:

  • Full breakdown of cooking equipment surfaces
  • Degrease the wall behind and beside the line, which in a tight station takes the hit a hood would catch in a wider kitchen
  • Empty and clean floor drains at your station
  • Full floor clean, edges and corners included

Weekly:

  • Degrease hood filters, or swap them if the facility runs an exchange
  • Clean behind and under everything on casters
  • Detail shelving, racks and the underside of prep tables
  • Fryer detergent clean

Monthly:

  • Fryer boil out, more often if you fry constantly
  • Machine scrub the floor, or arrange it if the facility has no machine
  • Full wipe down of walls and ceiling within the splash zone
  • Pull and clean equipment that doesn’t roll

One thing to add that a normal restaurant doesn’t need: document it. Photograph your station at close and at open, keep a signed cleaning log, and keep your own copy. In a shared building, records are how you prove a finding wasn’t yours.


Your Permit, Their Building

This is where assumptions get expensive. The facility’s license covers the building and its equipment. It doesn’t cover your food business, and it doesn’t transfer to you.

Each tenant typically holds their own food service permit, so a health inspector arriving at the building can write findings against your permit for conditions in your station, regardless of what the facility does or doesn’t do elsewhere. Ghost kitchens have to satisfy the same health code as any restaurant in Pennsylvania, and what a Pennsylvania inspector looks for doesn’t soften because you have no dining room.

Three practical consequences:

  1. You can fail an inspection over a shared condition you don’t control. A dirty common area, a backed up shared trap or a grease heavy duct can all land in your report. Documentation of your own compliance and of the requests you made to the facility is your only real defense.
  2. Cross contamination is a shared risk. Shared walk ins, dish pits and prep equipment mean another operator’s allergen handling becomes your exposure. Dedicated, labeled storage and your own color coded tools aren’t precious, they’re the minimum.
  3. Fire compliance is collective. One neglected duct is everyone’s violation. It’s also everyone’s insurance conversation.

What It Costs, Honestly

Most operators budget between $0 and $2,000 a year for maintenance, because they assume the facility handles it. A realistic annual figure for one station’s share of the building’s mechanical systems is $4,150 to $13,000, broken down roughly like this:

Before You Sign, and What to Do If You Already Did

Sort yourself by where you are.

If you haven’t signed yet, ask for four things in writing and treat any refusal as an answer:

  1. The mechanical clauses, spelled out. Who cleans the hood, duct, fan, trap, makeup air and rooftop units, at what interval, and the exact cost sharing formula. Vague language here is not an oversight.
  2. Maintenance records. Hood cleaning certificates, trap pumping receipts and HVAC service reports for the last two years. A facility that can’t produce them has been neglecting the systems, and you’d be buying into the backlog.
  3. The common area cleaning scope and frequency. Who cleans corridors, restrooms, the dish pit, the trash room and the loading area, how often, and who checks.
  4. An independent look at the mechanicals. Before you commit, have someone assess whether the exhaust, makeup air and cooling are sized for the number of stations currently operating. If they’re not, you’ll be fighting heat and air quality from day one.

If you’re already in, do three things this month. Request the maintenance records in writing, so your request is dated and on file. Start photographing and logging your own station daily. And put a $20 temperature logger in your station, because if you routinely exceed 95 degrees during service you have objective evidence to take to the facility rather than a complaint.

If you’re the facility operator, the fix is a published matrix and a calendar. Post who owns what, run the shared systems on a documented schedule, keep the certificates where tenants can see them, and inspect the common areas on a set day. Divided responsibility only causes disputes when it’s undocumented, and the same logic applies here as it does across every other restaurant format: the cleaning that gets skipped is always the cleaning nobody was clearly assigned.
