The timing is what hurts more than the money. Equipment that dies early rarely does it on a slow Tuesday in February. Machines Don’t Wear Out. They Fail in Three Ways.
Ask a service technician what actually killed a piece of equipment and you’ll almost never hear “old age”. You’ll hear one of these three.
Blocked heat rejection
Every refrigeration unit works by moving heat out of the box and dumping it into the room through the condenser coil. That coil has to be able to breathe.
Grease and dust settle on the fins and form an insulating blanket. The heat can’t leave, so the compressor runs longer and hotter to hit the same set point. And heat is precisely what kills compressors. The unit doesn’t fail at the coil, it fails at the most expensive component in the machine, which is why the repair bill never looks like a cleaning problem.
Ice machines and rooftop condensing units fail the same way for the same reason.
Carbonization
Fats and food residue exposed to high heat over and over don’t just sit there. They polymerize, meaning the molecules break down and recombine into a hard, bonded black layer that ordinary washing won’t lift.
That layer does three things, all bad. It reduces heat transfer, so a griddle or an oven works harder for the same result and cooks unevenly. It traps heat and moisture right against the metal, which accelerates corrosion in stainless and cast iron alike. And the charred surface is porous, so it holds soil that’s genuinely difficult to sanitize.
Carbon is the reason a five year old fryer can be functionally older than a fifteen year old one.
Seals and moving parts
The cheapest components fail first and take expensive ones with them.
A walk in door gasket caked with grease stops sealing. Warm humid air leaks into the box continuously, the unit runs nearly nonstop, and you’re back to mechanism one. A dish machine’s wash arms clog with debris and scale, so the machine stops washing properly long before it stops running. Casters seize, hinges bind, and hood filters loaded past their capacity restrict airflow and push the whole exhaust system to work harder.
There’s a version of this that has nothing to do with grease, and it catches kitchens out because it looks like nothing at all. Anything that heats water leaves mineral scale behind: dish machines, ice machines, combi ovens, coffee equipment. Scale is an insulator, so a scaled heating element burns hotter to deliver the same water temperature, which is mechanism one wearing a different costume. It also narrows jets and lines until flow drops off.
Deliming is a separate task from degreasing, on a separate schedule, with a separate chemical. A kitchen that degreases beautifully can still be scaling its most expensive machines to death.
None of these announce themselves. They just quietly move a machine’s failure date closer.
The Refrigeration Case, in Dollars
Refrigeration is where the numbers are clearest, so it’s worth walking one machine all the way through.

Who Cleans What
Equipment life falls through the cracks between three different people, and most kitchens have never actually assigned the work.

A manufacturer technician owns everything with a spec. Calibration, refrigerant, gasket replacement, deliming on some machines, and any warranty work. No cleaning company should be inside a sealed system, and any that offers to be is a problem.
The point of naming all three isn’t bureaucracy. It’s that coils, gaskets, and the space behind the cook line sit in a gap where every party assumes somebody else has it. Write those three items into somebody’s scope by name and you’ve done most of the work.

Your Warranty Has a Cleaning Clause In It
Manufacturers want to be on the hook for defects, not for neglect, and they write their warranties accordingly.
Warranty documents routinely carry maintenance conditions, and “required or suggested maintenance and cleaning not routinely performed” is a standard exclusion across the industry. In practice that shows up as specific obligations attached to specific machines:
- Refrigeration warranties commonly require regular condenser coil cleaning, working defrost cycles, and replacement of worn door seals
- Hood and ventilation warranties commonly require scheduled grease filter cleaning and duct inspection
- Even calibration counts, and a temperature control nobody has checked can be enough to get a claim questioned
Read that list again with a service call in mind. When a compressor dies at year six on a ten year warranty, the technician looks at the coil. A coil packed with grease answers the question of cause before anybody opens a manual.

You don’t need a maintenance program to move this number. You need four answers.
If you can’t name who cleans your condenser coils, that’s your finding, and it’s the single highest return item on this page. Assign it, monthly, in writing, to whoever is realistically in the building.
If your walk in runs almost continuously, put a hand along the door gasket and look for a light gap with the door shut. A failed gasket is a cheap part causing an expensive symptom.
